Spreadsheet Relay

The same information moves through the business as copied rows, emailed files, and repeated typing. Work advances when somebody remembers to carry the details into the next place.

Recognize the pattern

What it looks like.

An accepted request goes into a shared tracker, then another person copies it into a delivery list. A change reaches only one copy, so the next team starts from an older version.

What it costs the team.

Staff become couriers for information, and leaders see status that may already be stale. Small discrepancies create reconciliation work and can interrupt the next step.

The problem: the same details travel through too many tools.
Illustrative workflow

An updated request misses the delivery list

Here is one way the work could move, with a person handling the decisions that need judgment.

The change: agree how information reaches the next person.
  1. Read the incoming information and identify the fields the next step needs.

  2. Check required values and flag missing or conflicting details.

  3. Prepare an update to the agreed record under the team’s access rules.

  4. After the update is accepted, trigger the next approved action.

Keep the judgment

What a person still owns.

The review: people check exceptions before the work moves on.
  • Define the official record and the process rules.
  • Resolve exceptions and authorize data corrections.
  • Set access permissions and approve rules for changing official records.
Start with the work

A useful first step.

Follow one request across its trackers and records. Identify the official source for each fact and every place someone copies it.
